Are there examples or templates for custom reports?

Common ways to use custom reports, from channel comparison to campaign roll-ups to scheduled delivery.

Having so many powerful reporting options can be overwhelming, and it can be challenging to figure out how to answer a specific question about a marketing campaign or link performance.

The examples below are common ways teams use custom reports to understand their data. For data that takes you from viewing clicks to tracking visitor actions, check out our conversion tracking feature.

A couple of things to note:

  • Custom reports are available on paid plans.

  • Each report is scoped to a single workspace.

  • Export reports as a CSV or JSON file to import into your data tools and perform your analysis.

Report builder overview

You'll create custom reports by selecting Analytics > Custom and choosing a workspace containing the data you want to analyze.

Report builder fields

The fields in the examples that follow determine which data appears on your report, and how that data is filtered. The fields are organized in two sections: Data set and Data filters.

Data set

Each field you select here will appear as a column in your report.

Data filters > Match (OR/AND logic)

This choice determines whether data must match any of the criteria you select or all of the criteria. This only applies if you choose multiple fields in the next step.

To expand the results in your report to match any of your criteria, choose Any of the following filters/OR.

To shrink the number of results and get more specific, choose All of the following filters/AND.

Data filters > Add a filter > Select fields

Now you'll choose which fields to match on. Click Add a filter and select a field.

For some fields, you will choose values from a list. These will match on the exact value.

For others, you will select an operator (like is or contains) and enter a value. If there's an error in your entry, you may not get a match, so check your typing!

Use these guidelines as templates or starting points to build the data report you're looking for.

Send scheduled reports automatically to teammates

Not everyone who needs your link performance data wants to check the dashboard and filter data themselves. Custom reports can run on a schedule and alert stakeholders via email, so they get notified with the numbers without you generating them manually each time.

Scheduled reports are delivered as a link back to Rebrandly, not as a file attachment. Recipients will need their own Rebrandly login to view the data.

  1. Set up your data sets and filters as needed for the report.

  2. Under Frequency, choose Daily, Weekly, or Monthly.

  3. Enter the email addresses of the recipients.

  4. Select Save to schedule the report.

See which channel is driving your traffic

If you're running links across email, social, and paid campaigns, the question that matters most is which channel is actually driving clicks. Custom reports can break this down using the UTM Source data you're already tagging your links with, so you can compare channels side by side instead of checking each link individually.

  1. Under Data sets, select UTM Source.

  2. Add any additional columns you want alongside it, such as Branded Link or Country.

  3. Select Run to generate the report.

Roll up all the links in one campaign

Campaigns rarely live on a single link. Since reports can filter by UTM campaign, you can pull every link tagged with the same campaign into one view instead of stitching together individual link reports.

Consistent UTM tagging is what makes this report work. If your team doesn't consistently tag links with the same campaign name, this report will miss links that should be included. Our UTM builder can help you avoid that.

  1. Under Filters, select UTM Campaign and enter the campaign name.

  2. Under Data sets, select the columns you want to see, such as Branded Link, UTM Source, or Total clicks.

  3. Select Run to generate the report.

Figuring out if those clicks result in visitors taking action on your site is another important insight. You can get to that with our conversion tracking.

See where your clicks are coming from geographically

Knowing which countries your audience clicks from helps you time campaigns, localize content, or confirm you're reaching the regions you're targeting. Custom reports include Country as a data point for breaking down your reports.

Custom reports return country-level data as a table, not as a map.

  1. Under Data sets, select Country.

  2. Add Branded Link, Tag, or any UTM field as an additional column if you want the geographic breakdown per link, campaign, or other ways you're organizing your links.

  3. Select Run to generate the report.

Break out repeat clicks and bots for more accurate click counts

Raw click counts can look inflated once you include bot traffic and visitors who click on your links more than once, which makes reports look inaccurate to stakeholders who compare them against other tools. Custom reports break out human clicks from bot clicks and can also show unique human clicks, so the numbers you share hold up to scrutiny.

  1. Under Data sets, select the columns you need: Total clicks, Total human clicks, Total human unique clicks, and Total bot clicks.

  2. Select Run to generate the report.

"Total clicks" includes bot traffic and QR scans. If a number looks higher than expected, check whether you're looking at total clicks or human clicks.

Measure QR code campaign performance

If you're running a campaign that relies on QR codes, in print, packaging, or events, you need to know how those scans performed separately from standard link clicks. Custom reports break out QR scan totals, including the human/bot split, as their own columns.

  1. Under Data sets, select Total QR scans, Total human QR scans, and Total bot QR scans.

  2. Add Branded Link or Tag if you're tracking multiple QR codes at once.

  3. Select Run to generate the report.

Drill down by individual link in a high-volume workspace

If you're creating links through a high-volume workspace via our API, most reporting surfaces only show you workspace-level totals. Custom reports is the only report type that lets you break extended workspace data down by individual campaign link.

  1. Choose your extended workspace when selecting the workspace to report on.

  2. Under Data sets, select Branded Link alongside the metrics you want (clicks, UTM data, and so on).

  3. Select Run to generate the report.
